Create a chatbot from PDF documents
PDFs often contain the answers customers need, but they are difficult to search on a phone. A document chatbot makes that information available through ordinary questions.
When a PDF chatbot is useful
PDF knowledge works well for product manuals, course handbooks, service brochures, menus, warranty terms and policy documents. The visitor does not need to know which file contains the answer; they can describe the problem in their own words.
The PDF must contain readable text. A scan made only from images may require optical character recognition before upload. Tables, multi-column layouts and repeated headers can also reduce extraction quality, so test questions from the most complex pages.
In Chaat, PDFs can be uploaded by choosing a file or dragging it into the Knowledge area. They can be previewed after upload. Because a PDF is a fixed document, updating its content means replacing it with a corrected version.
Prepare a PDF for useful answers
- 1
Choose the current version
Check the publication date and remove drafts so the bot cannot retrieve conflicting instructions.
- 2
Confirm the text is selectable
Try selecting and copying a paragraph. If that fails, run OCR or export a text-based PDF from the source document.
- 3
Use a descriptive filename
Names such as Returns-policy-2026.pdf are easier to review than scan-final-3.pdf.
- 4
Upload and wait for readiness
Do not test the document while it is still being processed.
- 5
Ask page-specific questions
Test definitions, exceptions, numbers and steps from different parts of the file.
Good PDF source material
Manuals
Setup instructions, troubleshooting steps and maintenance guidance.
Policies
Returns, cancellations, warranties and service terms.
Brochures
Service descriptions, inclusions and eligibility details.
Handbooks
Structured procedures and frequently referenced rules.
Why PDF answers sometimes fail
- The file is a photograph or scan without a usable text layer.
- Several PDFs contain different prices or policy versions.
- The answer depends on a diagram that has no written explanation.
- A large combined PDF mixes unrelated businesses, regions or products without clear labels.
Frequently asked questions
Can Chaat edit a PDF?+
PDFs can be previewed, but their fixed page content is not edited inside Chaat. Replace the source with a corrected PDF when information changes.
Can I combine PDFs with website knowledge?+
Yes. One bot can use multiple knowledge sources, including PDFs, website pages, text and supported spreadsheets.
Will visitors see the PDF source name?+
Source labels are available as an optional aid in the private Test area. They are not shown in shared or embedded customer chats.
